BOOKKEEPER/ACCOUNTING RFP

PURPOSE: AAF Black Hills seeks proposals from contractors with comprehensive bookkeeping and accounting services using QuickBooks Online, experience servicing non-profit organizations preferred. We anticipate a 12-month engagement (depending on performance) beginning August 1, 2024, for July 2024 financials with the option to renew.

AAF Black Hills in Rapid City, SD, is one of over 200 chapters across the U.S. providing education, connections, and resources to their local communities under the American Advertising Federation. Governed by a volunteer board, the local organization has just over 100 members and an annual budget of about $50,000 with about half that amount in reserve. AAF Black Hills hosts about eight or nine programs/events annually.

scope of services  

  • Follow cash accounting method for the fiscal year running July 1 through June 30.

  • Set up and maintain accounting records using QuickBooks Online (QBO).

  • Journal entry processing, ensuring accuracy and compliance with accounting standards.

  • Monthly reconciliation of checking and savings account.

  • Accounts receivables management, including generating invoices and tracking payments.

  • Manage Square.com and Paypal.com for invoice management and payment processing.

  • Issue vendor payments and obtain approval from the treasurer for expenses.

  • Prepare detailed monthly financial reports, including transaction details, income and expenses, and a categorized budget report. (Sample provided upon request.)

  • Prepare or coordinate the preparation of any required tax filings (quote as additional)

  • Support with any other typical bookkeeping functions recommended for the organization’s financial health and compliance.

  • Work closely with the treasurer and support the board with questions as needed.

  • Estimated monthly time commitment of two to three hours for most months, or up to five hours during a couple of busy months.

Suggested qualifications

Contractors should indicate experience, CPA designation or equivalent qualifications, expert proficiency in QuickBooks Online, and comprehensive insurance coverage such as Professional Liability Insurance (Errors and Omissions Insurance) and Cyber Liability insurance.
